To generate and send thank you letters in MyGiving.Online there are 2 steps:

  • Create a letter template
  • Choose the donors to send the letter/email to


Creating a Letter Template


  1. Go to Admin
  2. Masters
  3. Thank You Letters
  4. Click the Add new button on the top left hand side of the page


You will be given a form to fill in with the text you want to appear before and after a list of donations, 


the format of the greeting, 

desired letterhead image or space

and then the contact details/text to appear, if any, at the bottom of the page.


Generating the Letters

Once the letter has been created you can then generate the letter and send it in bulk via email or print out the letters to be sent via post:

  1. Go to reports
  2. Thank You letters
  3. Choose one of the options shown, in this example we will use "Audit Trails and Thank You letters"

The process is split up into steps where you filter the data or choose the way it is going to be aggregated.


Step 1 : pick the date range for which you want to find donations in.  The report style will determine how the donations in the letter are displayed:

  • Details : Every individual donation will be listed
  • Summary : only a single line will be shown
  • Summary with separate summaries for each purpose : One line for each unique purpose the donor has given to

Data order can be ignored here as it does not affect the letter.


Step 2  : narrows down the donors to be included.  Choose the appropriate options and continue to the next step.


Step 3 : narrows down the types of donations you want to send a thank you for.  Choose the appropriate options and continue to the next step.


Step 4 : on the bottom left hand side you have the option to select the letter template you created.  Once you have selected the template you can click print labels to create the labels to put on your envelopes, if you are sending any via post, and then click "Thank You Letter"


You can now uncheck any specific donors you don't want to send the letter/email to.  

Click preview or download to get a printable copy of the letters or click send mail to send a thank you email to the selected donors with email addresses on their record.
