Dual Authorisation is a security function that gives your organisation additional control over the payments that are made from your bank account. When making payments for your church or charity the Charity Commission expect such payments to be dual authorised (this would also include online payments) as this helps maintain your financial controls.

Once enabled in MyFundAccounting, a minimum of two users will be required to authorise any online payment. 

Getting Started 

  1. If you do not already have an account on our www.datadevelopments.co.uk website, please create a new account by clicking  in the top right-hand corner of our website

  1. Contact the Data Developments support to team to request the Know Your Customer feature is enabled on your customer account.
  2. Sign into your customer account at www.datadevelopments.co.uk
  3. Select the KYC option and complete the form – You will be required to enter the below information.
  • Registered Church or Charity Name
  • Your Church or Charity Address
  • Are you recognised as an "Excepted charity"
  • If not, then your Charity No.
  • A scan of your HMRC (HM Revenue and Customs) Gift Aid reclaim receipt letter
  • Contact Name
  • Contact Email
  • Church or Charity Website
  • What does your Church or Charity do?
  • Do you have a GDPR Policy in place?
  • What do you use the donations for?")
  • Your estimated minimum expected donation
  • Your estimated maximum expected donation
  • Your estimated average expected donation
  • Proof of ID (Passport or Driving license – readable scanned copy) from one of the Trustees you have listed
  • Proof of Church or Charity bank details (Readable scanned copy of the Bank statement for the account that you intend to have the donations paid into – statement should be no older than three months)
  • List of 3 Trustees Details (DOB, number of years as a trustee, email, and address)
  • How many need to authorise a payment? (Minimum 2)

 

  1. Data Developments will confirm the details entered to ensure they match the registered organisation details
  2. Dual Authorisation will be activated

 

 

Using the Dual Authorisation in MyFundAccounting

  1. Log into MyFundAccounting.Online

  2. Go to Transactions
  3. Online Banking
  4. New Transfer

  5. Select the Bank account that will be used to record the transaction in MyFundAccounting and enter a Remitters reference.

 

  1. Select the expenditure code that will be used to record the transaction in MyFundAccounting
  2. At the bottom of the Step 2 Screen please enter the amount to be paid, enter the Beneficiary reference and then Select the supplier to be paid and the Sort code and account number should be displayed automatically
    1. If this does not happen, please go to ‘Create’, ‘Accounts assistant’, ‘Suppliers, Grantors and Agencies’ and if the supplier isn’t listed, please click ‘Add new’ to add them in. If they are listed to can edit them and include the Sort Code and Account number

  1. Select the fund that will be used to record the transaction in MyFundAccounting

  2. Enter the ‘Reason for payment’ this will be seen by those authorising the payment and will explain it for them
  3. Enter the income prefix (if required) and the invoice number that you are paying
  4. Click on the ‘Upload’ button to attach a copy of the invoice – this will also be sent to those authorising the payment so that they can confirm the details.
  5. On step 5 you can review the transaction details and if all is correct you can then click ‘Request authorisation for payment’. This will then send an email will be sent to the users marked as authorisers on the account for them to accept or reject the requested payment
  6. Once the minimum number of authorisers accept the payment the user who requested the payment will receive an email informing them that they can now go ahead with the transfer
  7. The user can either click on the link on the email or from within MyFundAccounting click ‘Admin’, ‘Online banking’, ‘Sent authorisation request’ and click ‘Payment’.
  8. This will take them to the Online banking portal. Select your bank (Lloyds, Natwest etc) you wish to make payment from and follow the procedure to login to your online bank account
  9. The amount and supplier details will be shown. If you have more than one bank account, select the bank account you wish to make payment from.
  10. Completing the payment via the Online Banking portal takes the user back to MyFundAccounting.Online and provides them with the audit number of the transaction that has been created to represent the payment
